A show with no pipeline books whoever replies first. A show with a pipeline chooses. The difference is a single working document that lists more qualified candidates than you need, with enough context on each one that a pitch can be written in ten minutes and a decline never puts the publishing schedule at risk. This worksheet is that document. Each row is one candidate, and the columns force the questions that matter: why does this person fit our listener, what have they said recently that we can reference, how likely are they to reply, and what is the next concrete action.

Keep two or three times as many qualified candidates as you have open slots, and review the sheet weekly. Move each row through the stages (idea, pitched, replied, scheduled, dossier built, recorded, published) so the stage column tells you at a glance where the show is thin. If the sheet feels heavy for the number of episodes it produces, the Cost per Booked Guest Calculator at /tools/cost-per-booked-guest/ will show whether the time is going into outreach, scheduling, or prep. For the outreach approach that fills the replied column, see /blog/book-great-podcast-guests/ and the guide at /guide/.
